Executive Summary

Manpower signed a four-year agreement for the provision of recruiting services to the Australian Defence Force (ADF) in late 2002, following on from a two-year trial conducted in Victoria, Tasmania and southern New South Wales.

As part of the service provided to the ADF, Manpower was operating an environment comprising printer, fax and photocopying equipment alongside a small implementation of TELEform - a software application allowing data extraction and capture from documents via scanning devices.

In order to streamline its procedures - and office space - Manpower reviewed solutions from vendors that could offer both a significant upgrade to its TELEform environment along with multifunction printing devices to replace its printer, fax and photocopying equipment.

As the manufacturer of suitable multifunction devices - such as its imageRUNNER iR3300i - and a local integrator of TELEform, Canon was one of the companies reviewed.

The Issues

- Manpower realised that it needed a larger implementation of its TELEform software environment as greater demands would be placed on its defence recruitment network.

- With a larger implementation of the software, it was a logical step for Manpower to start replacing its printer, fax and photocopying equipment with multifunction devices.

TELEform is a software application made by US-based Cardiff (www.cardiff.com) and sold locally by Canon, which enables businesses to quickly extract, capture, verify, process and index large quantities of information using production-level scanners, fax servers and the Internet.

The software is a proven solution that dramatically reduces operating costs associated with manual data entry. It increases operating efficiency and provides an accurate, timely process for getting existing forms and documents into a back office, ERP, DM or ECM system.

As an existing user of TELEform in a limited capacity, Manpower was tasked with improving its use of the software to match its ramped-up provision of recruiting services to the Australian Defence Force (ADF). This followed the signing of a four-year contract, whereby it provides the initial point of contact, administrative processing, selection interviewing, and medical and psychometric testing.

"To facilitate the defence recruitment process we need to be able to send and receive key information on the applicant to our database via the TELEforms software," said Suzanne Kerslake, Director of Technology and Service Delivery at Manpower. "In turn, we were looking for an upgrade to the software and hardware to allow us to minimise the number of printers, faxes and photocopiers that we would need, especially where space is an issue."

Most importantly, according to Ms Kerslake, multifunction devices could ensure that images from the devices could be sent directly by e-mail to Manpower's data centre where they go through a verification process, rather than being scanned and distributed from separate devices.

The Canon Solution

- Canon suggested its imageRUNNER iR3300i as the perfect compliment for Manpower's TELEform environment, particularly due to its Universal Send capability

- Canon also demonstrated its expertise with TELEform software integration and the proposed Canon multifunction device.

Manpower's IT development team undertook trials of four different multifunction devices, comparing their features and performance in relation to its existing and projected TELEform environment.

Canon suggested its intelligent iR3300i as its solution to provide the perfect pairing with the TELEform application.

Of particular relevance to Manpower's needs, the iR3300i features Canon's 'Universal Send' technology which allows users to scan and distribute documents simultaneously via e-mail, Internet fax (I-Fax), Super G3 fax, and local area networks from a single unit.

Using the existing infrastructure of the office network and the Internet, Manpower users could use the iR3300i to scan and send recruitment documents via the TELEform application to its central database, all in one simple operation.

The Manpower IT development team was impressed by both the ease of use of the iR3300i and Canon's expertise at integrating it into the existing TELEform environment. It selected Canon's solution from the four vendor trial, with the first phase of its rollout beginning in early 2003.

"We selected Canon so that we could go to a 'one stop shop' for the provision of hardware and software," explains Ms Kerslake. "We were looking for a company that could provide a high level of technical support and be able to work with our development team and actively take part in aspects of the implementation of the solution."

The Results

- To date, Canon has installed 25 imageRUNNER iR3300i devices across 18 Manpower locations in every state and territory in Australia.

- Staff can now send defence applications direct from the imageRUNNER iR3300i to Manpower's centralised database via the TELEform software.

With the upgrade to its TELEform environment and implementation of iR3300i devices, Manpower is now well-placed to meet the challenge of ADF recruiting head on. Key to the process, according to Ms Kerslake, were Canon's team of skilled technicians and consultants.

"I have found the Canon technicians and consultants to be very helpful and professional," said Ms Kerslake. "While a better view and understanding of the solution will be taken towards the end of the year when the rollout and training has been completed, we can already see clear business benefits from both the enlarged implementation of TELEform and the overall functionality of the intelligent imageRUNNER iR3300i devices."
